How to utilize Items Additional fields to calculate any kind of formula

In this topic we will discuss the utilization of additional field of ERP software.



Sometime we need to add some information of item during item entry such as description of item, parameters of item. For eg. A motorcycle dealer Want to add motorcycle chassis number, color, engine number and model etc. He also want to print these parameters in bill, for this purpose we will use additional field in this software.

Click additional fields in utilities menu. If we want to apply additional field on item then we will select items in master menu and in no. of

We will select how much additional field we want to add. For eg. We will select 5 no. of field.

Then we will fill all five field. Then click on apply.

Click OK. Then click on cross sign. Thus in this way the additional fields have been applied on item.

Now we will create an item. To create an item click

on items on right hand side.

Now click on new. Now fill item in item name, short name, HSN code,

tax, company, group, primary unit and press enter. You will see here all the additional field that you have created. You can fill these fields. Press enter.

Fill sale price, purchase price, opening packs, loose packs and all these. Now click on save then click OK. Now close it. Let us do sale entry.

Click on sale on right hand side.

Click on new.

Now select terms, party name, sale type,bill number, item name and press enter. Now you will see the additional fields which you have created. You can change any detail in additional field. For eg. If you want to change chassis no. then you can change here. Now press enter to continue.

Now fill the quantity, price , discount etc. The software will automatically calculate the total value of that particular item. Now press enter.

You can see all detail of that item below. Now click on save.

Now click OK.

Now you can click on yes to see bill print.

You can print the bill by clicking on print. You can also preview and email the bill print. You can also send him bill SMS on his contact number.

You can see bill print preview in this format. Here you can see additional field that you have created.

Thus in this way you can create additional fields and print these fields in bill.


Now we are going to take another example. Let us suppose plywood dealer want to create square feet automatically while doing addition of item width, height, pieces in sale entry. Thus to do such type of calculations we can use additional fields. We can create formula in additional field according to our requirement.


For this, we will again click on additional field in utilities.


Here we will select items in master menu and in no. of field we will select 4.

Now fill the all fields. As the all fields selected has numerical value therefore we will tick numeric boxes preceded by fields. Now to form a formula click on the sign preceded by numeric that is preceded by field 4. Now on right hand side of yellow box you can see the code for height, width and pieces. Now double click on these code. For eg. Firstly double click on F01 then click on multiply sign. Now double click width code then click on multiply sign. Now double click on pcs. code. You can also add a value with this formula by filling the include this vale box with a numeric value. If any error occur in formula during creating it then you can click on cross sign in this yellow box and you can create formula once again. Now click on finish.



The box become green colored on which field we have applied formula. Now click on apply.

Click OK and close it by clicking on cross sign.


Now we will do sale entry. Click on sale on right hand side.

Click on new.

Fill the date, terms, party name, sale type, bill number and due date. Now as you fill item name you will see additional field of that item. After filling the height, width and pieces then it’s square feet will be automatically calculated. Now press enter.

Now quantity will be automatically selected same as the square feet. Then you can fill the price of per square feet in price block.After filling all details you will get net value of the item calculated automatically. Now press enter.

Now you can see that item details. Click on save.

Click OK.

Now click yes to see bill print.

Here we will select format of bill print. We can preview the bill. We can also email and send Bill SMS to the customer. Click on close button.

Let us take one more example of calculation. For eg. In garment shop there is different size of cut pieces of cloth available to sell. Some are of 3m, 2m and 5m. Thus to calculate those pieces we can use additional field.

To do this, we will click on additional fields in utilities menu.

Now fill the item name in master type and select the no, of field. For eg. we will select 2 no. of field in this case. Here we will

select field 1. And field 2. Tick the both numeric box because both field has numeric value. Now we have to apply formula on second field therefore we will select the sign arrowed in above picture.

Now you will see the yellow colored box. Here we will double click the detail code. Then click on finish.

Now you will see the sign change into green colored sign because on second field we have applied formula. Now click on apply. Close it by clicking on cross sign adjacent to apply button.

Now click on OK.


Now let us do sale entry by clicking on sale on right hand side.

Click on new.

Now select terms, party name and sale type. Now we fill the bill number, due date and item name. As we select item name you will see the additional field of that item. Now suppose we have to sell 5 pieces and one is of 5 meter length and second is 3 meter, third is 4m and so on. Then we will take here 5m+3m+…….so on. Thus after pressing enter you will see the total of meter you sold in meter box. Now again press enter.

Now this meter will be automatically selected in quantity. In the price you will fill the price for one meter piece. Now fi After filling all details we will get net value automatically. Now press enter.

Here we will see item details. Now click on save.

Click OK.

Now click on yes if you want to print bill otherwise click no.


Thus in this topic we have taken three examples to use additional fields. Thus in this way you can use additional fields and apply formula in it.
